These Terms and Conditions govern your use of the PatientFlow Assist website and communications with PatientFlow Assist, a service of MANAE LLC. By using this website, contacting us, or requesting information about our services, you agree to these Terms.
SMS messaging terms
By providing your mobile number and opting in to receive text messages from PatientFlow Assist, you agree to receive service-related SMS messages, customer care messages, appointment or follow-up communications, onboarding updates, or administrative support communications related to services you requested. Message frequency varies. Message and data rates may apply. Reply STOP to opt out. Reply HELP for help, or email info@patientflowva.com. Consent to receive text messages is not a condition of purchase or service.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. SMS opt-in data and consent will not be shared with any third parties except as needed to provide messaging services, comply with law, prevent fraud or abuse, or support requested customer care.
1. Our services
PatientFlow Assist provides virtual assistant and administrative support services for dental and medical offices. Services may include call handling, patient communication support, appointment scheduling and rescheduling, insurance verification support, patient follow-up, documentation support, task tracking, and other front-desk or back-office workflows.
Specific services, schedules, pricing, responsibilities, security requirements, and performance expectations may be described in a separate written agreement, statement of work, order form, or service proposal. If a separate agreement applies, that agreement controls over these general website Terms for the specific services covered by that agreement.
2. No medical advice or emergency services
PatientFlow Assist does not provide medical, dental, clinical, legal, or insurance advice. Our support is administrative in nature. Clinical decisions, patient care instructions, diagnosis, treatment, medical judgment, and emergency triage must be handled by licensed providers or authorized clinical staff.
This website and our general contact channels are not intended for emergencies. In an emergency, call 911 or your local emergency number.
3. Client responsibilities
Clients are responsible for providing accurate instructions, approved scripts, access permissions, workflow rules, escalation procedures, scheduling protocols, and any required compliance or security requirements. Clients are also responsible for ensuring they have the rights, permissions, notices, and consents needed for PatientFlow Assist to perform the requested administrative services.
4. Healthcare compliance
Healthcare clients may be subject to HIPAA and other privacy or security laws. PatientFlow Assist services involving protected health information should be governed by an appropriate written agreement, and where applicable, a Business Associate Agreement or similar contract. Do not transmit protected health information through unsecured website forms or general email unless your practice has confirmed that the method is appropriate.
5. Acceptable use
You agree not to use this website or our services for unlawful, harmful, fraudulent, abusive, deceptive, or unauthorized purposes. You may not interfere with website security, attempt unauthorized access, misuse communications systems, send spam, or provide information that you do not have permission to share.
6. Communications and consent
By contacting us, you authorize PatientFlow Assist to respond using the contact information you provide. Email and SMS communications may be used for inquiries, onboarding, customer support, service updates, administrative messages, and other communications related to your relationship with PatientFlow Assist.
You can opt out of SMS messages by replying STOP. You can request help by replying HELP or emailing info@patientflowva.com. You can also contact us to update communication preferences.
7. Intellectual property
The PatientFlow Assist name, logo, website design, graphics, text, and other website content are owned by or licensed to PatientFlow Assist and may not be copied, modified, distributed, or used without permission, except for ordinary viewing of the website.
8. Third-party services
Our website or services may use third-party tools, platforms, communications providers, hosting providers, email providers, analytics tools, or other vendors. We are not responsible for third-party websites, policies, or services that we do not control.
9. Disclaimer of warranties
This website is provided on an “as is” and “as available” basis. PatientFlow Assist does not guarantee that the website will be uninterrupted, error-free, or free from harmful components. Service commitments, if any, must be stated in a separate written agreement.
10. Limitation of liability
To the fullest extent permitted by law, PatientFlow Assist will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages arising from or related to your use of the website or general communications with us. Any service-specific liability terms should be stated in the separate written agreement covering those services.

Your use of the website and communications with us are also governed by our Privacy Policy, which explains how we collect, use, share, and protect information.
